Tax season rewards the prepared. Whether you file as an individual, a freelancer, or a business owner, gathering the right documents before you sit down to file is the single biggest factor in getting an accurate return — and the maximum refund you’re entitled to. Use this checklist to make sure nothing slips through the cracks in 2025.

1. Gather Your Personal Information

  • Social Security numbers or ITINs for you, your spouse, and all dependents
  • Last year’s tax return (helpful for verifying identity and carryover amounts)
  • Bank account and routing numbers for direct deposit of your refund
  • Any Identity Protection PIN (IP PIN) issued by the IRS

2. Collect Every Income Document

Missing even one income form is the most common reason returns get amended later. Watch for:

  • W-2s from every employer you worked for during the year
  • 1099-NEC / 1099-K for freelance, contract, and payment-app income
  • 1099-INT, 1099-DIV, and 1099-B for interest, dividends, and stock sales
  • 1099-R for retirement distributions and SSA-1099 for Social Security
  • Schedule K-1s from partnerships, S-corps, or estates
  • Records of rental income, crypto transactions, and any unemployment compensation

3. Round Up Deduction & Credit Documents

  • Mortgage interest (Form 1098) and property tax statements
  • Charitable donation receipts — cash and non-cash
  • Medical expense records if they may exceed 7.5% of your income
  • Education expenses (1098-T) and student loan interest (1098-E)
  • Childcare provider details for the Child and Dependent Care Credit
  • Energy-efficient home improvement receipts for residential energy credits

4. Business Owners: Extra Steps Before You File

If you run a business, your return is only as good as your books. Before filing, make sure your bank and credit card accounts are fully reconciled through December 31, expenses are correctly categorized, contractor 1099-NECs have been issued, and mileage logs and home-office measurements are documented. Clean, CPA-reviewed books can easily be worth thousands in deductions you would otherwise miss.

5. Know the Key 2025 Deadlines

  • January 15, 2025 — Q4 2024 estimated tax payment due
  • January 31, 2025 — W-2s and 1099-NECs must be sent to recipients

  • April 15, 2025 — Individual returns, C-corp returns, and Q1 2025 estimated payments due
  • October 15, 2025 — Extended individual return deadline

6. Decide Who’s Filing Your Return
